Planning Manager

Objective

Planning Manager- COE will play a key role in managing all activities related to Central Planning Function collaboration with other stakeholders for assigned projects. The job holder will be responsible for the preparation and monitoring of overall Project Program, review of Project Progress, identifying and reporting delays to relevant stakeholders for timely and appropriate action and facilitating interdepartmental co-ordination.

Key Requirement

  • Good understanding experience of project planning activities and techniques [Experience in different scale (large and medium) and types (residential, commercial, malls, etc.) of projects will be an added advantage]
  • Good understanding of the value chain and operations of real estate developer
  • Analytical mindset
  • Able to independently prepare and monitor Project Schedules and Programs
  • Thoroughly understands the logics and relationships between different department activities and construction activities

Key Accountabilities

Prepare Project Programs at Level 1 and detail program at Level 2/3

  • Assist in setting up the required planning preparation work including management system of planning, coding, weighting, and documentation
  • Prepare project milestones at L1 Level before the project inception by coordinating between related departments, and management under instructions of Planning Director- COE
  • Prepare detailed Work Breakdown Structure for the specific project based on the project scope and requirements (Upto Level 3)
  • Review Construction Program, Design Program, Procurement and Tendering Plan prepared by respective departments to ensure inter- department linkages and alignment with Project Milestones
  • Prepare integrated Project Program at Level 2/ Level 3 by integrating all the departmental programs ensuring the logics and alignment under instruction from Planning Director- COE
  • Identify Resource requirement for achieving the set timelines and highlight to Planning Director- COE in case of any deficiencies
  • Identify and escalate conflicts/ issues between departmental programmes to Planning Director- COE and relevant stakeholder
  • Prepare Sale Gallery Show Unit Program and support in preparation of other departmental program including Legal Approvals, Sales Gallery Show Unit, Sales and Marketing, Sales, Marketing etc. to incorporate into Integrated Project Program
  • Carry out Schedule Risk Analysis on Project Program, best with understanding of business implementation standard such as U.S. GAO or DCMA-14

Project Milestones and Integrated Project Program Monitoring and Reporting Activities

(Under instruction of Planning Director- COE)

  • Update of Integrated Project Program on periodic basis based on the status of the project
  • Prepare Root cause analysis for delays identified and prepare Preventive and Corrective Actions for mitigating these delays
  • Conduct impact analysis on overall Project Program from time perspective due to any changes in the project (Initiated by Management)
  • Conduct impact analysis on overall Project Program from time perspective due to Variation Orders, Extension of Time, etc.
  • Coordinate with Site Planning Engineer and Planning Team in Project Development and other departments for integrated planning and reporting
  • Revise Project Milestones and Integrated project Program as per the guidance and approval from management. Ensure minimal deviations from baseline plan
  • Provide inputs on Project Risks and potential timeline slippages to all relevant departments for timely action and develop project risk register in consultation with relevant departments and continue to consult and update as required throughout all project phases for use as a tool by Project team in responding to potential and actual project risks.
  • Track, monitor the program, and report to Planning Director- COE on delays in timeline
  • Analyse progress data, trend and coordinate as required to resolve bottle necks

Independent Project Audits and Review

  • Assist and carry out site visit as needed in the 3rd stage of Audit Team to provide the Comprehensive or Independent View on the project quality completeness based on actual site audit reports from other department to keep a full understanding of the site project quality.

Interdepartmental Co-ordination and Issue Resolution

  • Support management in identifying corrective actions for issues
  • Participating in the project meetings conducted at HOD Level and Site level as required to identify critical issues affecting project progress
  • Ensuring timely follow-up and resolution of critical issues impacting project progress Establish and implement processes
  • Support in establishing processes and systems in line with management requirements
  • Support in implementation of processes and systems
  • Assist in the implementation of data and management reporting and digitalization in place with collaboration with relevant departments

Team Development:

  • Closely work with Planning Director-COE and support in project planning related activities
  • Guide and coach junior team members in every phase of the project to ensure the delivery meets the set timelines
  • Delegate tasks and set deadlines for direct reportees
  • Oversee day-to-day operation of the assigned tasks
  • Motivate team members
  • Discover training needs and report to Planning Director- COE

Other

  • Other tasks, activities as per COE and company’s requirements
