Manager- Design Management


Masterise Homes is looking to hire a Manager of design management to join the Design department team to help drive efficiency and effective function of the company.

The Manager of design management will report to the Director of Design Management and will drive implementation of all design activities for all projects assigned to him, and will be assisting the Director in the building up and implementing of design processes, standards & regulations.

The Manager of design management will also be a key stakeholder and a go-to person for the Director of design management while ensuring implementation of Day to day activities, and implementation of design processes and procedures throughout the various design stages, and will be assisting the director with related projects works and all of the section’s tasks internal & external

Key accountabilities

1. Design work- Business as usual

a. Assist the Director with any information related to the project in order to put together a project design brief, scope &
deliverables for new projects

b. Assist the Director with any information related to the project in order to put together Prepare the RFPs for Design Consultants and specialist consultants

c. Assist the director in collecting information related to design consultants, and relevant information to help evaluate consultant’s capabilities and ability to perform well in our project

d. Coordinate with the consultants to determine their proposed design work delivery timelines and report findings to the Director

e. Attend kick off meetings, Technical coordination meetings, and weekly progress meetings with the consultants. And conduct the meetings on behalf of the director when needed

f. Review and agree with the director on the Project Design Management Plan (PDMP) for each project

g. Ensure timely and accurate design work by coordinating, monitoring, reviewing and managing design consultants work in conjunction with set design management plan and expected quality

h. In coordination with the Director Manage & Monitor consultants work progress in relation to set design programmes

i. In coordination with the director of design management, review comments submitted by all Design directors for all drawings and documents submitted by Design Consultants and issue comments to consultants in timely manner following approval of design review form by Director of design management

j. In coordination with the director, seek inputs from Design Department directors when technical support is required to ensure the correctness and completeness of design

k. Report to the Director with all reports submitted by Design Consultants including weekly Areas of Concern, and distribute documents to relevant design directors in timely manner

l. In coordination with the Director, assist in managing the preparation, delivery and final submissions of Design Stage Reports for attaining the Design Stage Gateway Approvals from the HOD, Chairman and EXCO in accordance with Design Management Processes (DMP)

m. Contribute into Risk registry of each project, and coordinate resolutions with the director on regular basis, and monitor areas of concerns, and report areas of concern on weekly basis

n. Assist the Director in directing the consultants to stay aligned with the overall project budget throughout the various stages of design

o. Attend value engineering workshops with the consultant to achieve targeted budget through optimal designs. Ensure that a detailed and methodical value engineering and constructability process is adopted throughout the project design process.

p. Assist the director while managing the preparation of design submission documents and when requested by the Director Assist Government submission team with any technical discussions and resolution of issues

a. Assist Director in maintaining record of Design Consultant(s) submittals, and correspondence received. And ensure uploading of Documents to server through the assistance of department secretary

q. Assist the Director with any information needed to evaluate any variation orders/change requests submitted by the Design Consultant(s)

r. Assist the Director with inputs required for presentations to BOD

2. Internal departments- Relations & coordination

a. Liaise with Projects department, Development department, real estate department, Project Directors, Project Managers, Procurement department, finance department, sales admin and marketing departments to ensure design work is executed in alignment with overall project vision and expectations

b. When requested by the Director, Support Project Directors and other stake holder on any technical input or studies required

c. Follow up with Director of Concept design, to ensure timely production of sales & marketing materials by external vendors. This includes 3D CGI, Animation video, and Scale model production

d. Assist Director with Management of materials sample review and approval process in coordination with Design Directors

e. Support the Director with any information needed by QS/Estimation Department while development of project cost estimate at each design stage

3. Implementation of Department standards & Processes

a. Implement the design management plan (DMP) standard form. Seek Director’s guidance for clarifications when needed. Assist the director in creating Project design management plan for each project.

b. Implement standard RFP templates for design consultancy services, and assist the Director in creating RFP’s for all design consultancy services

c. Review & implement MASTERISE design standards manual, and coordinate implementation of the standards by all design consultants throughout the various stages of design

d. Implement the use of design review checklists in coordination with all design directors, and periodically contribute to developing the document

e. Assist the Director in creating “statutory design guidelines” document & compiling all relevant information from all design directors. And assist in keeping the document up to date based on latest authority requirements in coordination

f. Implement Design department processes & procedures. Seek Director’s guidance for clarifications when needed

g. Implement all design standards and procedures throughout the various stages of design

h. Ensure periodical development of “Lessons- learnt log” sheet in coordination with Design Directors and feedback received from Facility management, design comments received by government authorities, and input from design directors

a. Maintain awareness of industry trends, methodologies, tools, templates and best practices

a. Establish professional relationships with peer professionals in the industry.

b. Maintain awareness of newly launched projects in local market, and continuously explore differentiators for our projects

4. Development of Personal capabilities

a. Advocate & embrace a culture of continuous improvements within the department

b. Advocate & embrace a culture of transparency & accountability within the department

c. Advocate & embrace a culture of cooperation within team members in the department and with other internal departments based on the common goals and objectives of the company

a. Seek the Director’s guidance to set up a road map visualizing a clear pathway to career progression and growth within the company

b. Seek the Design director’s periodical feedback on your performance, and when needed seek the Director’s direction on how to re-align with the department’s objectives

c. Understand your areas of weaknesses and request periodical mentoring from the Design Director or setting up training sessions to sharpen capabilities

  • Line report: Director of design management
  • Internal Relationship: Representatives nominated by Heads of Department across the business.
  • External Relationship: As assigned by Director

Technical Capability

Ability to learn quickly and show resourcefulness ​

BA level degree in Architecture or higher

2 Good general knowledge in international codes and best practices    
3 A working technical knowledge of building systems, building codes, and regional design guidelines    
B Experience   25%
  Relevant experience in design management of Multi- use developments with different project scales    
  Should come from a design background and have a proven track record with heavy previous involvement in design    
  Total working experience of 10 years & above    
C Software knowledge    10%
1 Proficient in common engineering application software (AutoCAD)    
2 Knowledge in Revit software (BIM) is an advantage    
3 Proficient in common application software (Power point, Excel..etc)    
D Core Competencies   20%

PMP certification or equivalent Program Management certification will be an added advantage
