Design Management Director

Masterise Homes is looking to hire a Design Management Director to join the Design department team to help drive efficiency and effective function of the company.
The Director of design management will report to the Head of Design and will drive implementation of all design activities for all projects assigned to him, and will be assisting the HOD in building up design processes, standards & regulations and ultimately ensure a clear road map towards outputs of high quality in line with international standards. The director of design management will also be a key stakeholder and a go-to person representing the design department while coordinating with other internal departments and external consultants, contractors, and vendors.

Responsibilities

1. Design work- Business as usual

  • In conjunction with the HOD, develop the Team resources requirement for each project
  • Assist the HOD in drafting of project design brief, scope & deliverables for new projects
  • Prepare the RFPs for Design Consultants and specialist consultants
  • Participate in evaluation of Technical proposal received from the consultants and company qualifications, and assist HOD with recommendations
  • Establish design work delivery timelines in coordination with Project directors and consultants
  • Conduct kick off meetings, Technical coordination meetings, and weekly progress meetings with the consultants
  • Develop the Project Design Management Plan (PDMP) for each project
  • Ensure timely and accurate design work by coordinating, monitoring, reviewing and managing design consultants work in conjunction with set design management plan and expected quality
  • Manage & Monitor consultants work progress in relation to set design programmes
  • Manage the review and comment on all drawings and documents submitted by Design Consultants in coordination in coordination with all heads of sections and ensure the incorporation of all revisions on all documents and issuance of comments in timely manor
  • Coordinate inputs of Design Department heads of sections for technical support required to ensure the correctness and completeness of design
  • Review and report to the HOD all reports submitted by Design Consultant including weekly Areas of Concern
  • Manage the preparation, delivery and final submissions of Design Stage Reports for attaining the Design Stage Gateway Approvals from the Chairman and EXCO in accordance with Design Management Processes (DMP)
  • Manage Risk registry of each project, and coordinate resolutions with HOD on regular basis
  • Manage cost periodically in coordination with QS team and project director and insure alignment of design to overall set budgets
  • Manage Value engineering workshops with the consultant as needed to achieve targeted budget through optimal designs. Ensure that a detailed and methodical value engineering and constructability process is adopted throughout the project design process. Propose alternative materials/systems to improve the design operation and construction cost through the project life cycle
  • Manage the preparation of design submission documents and assist Government submission team with any technical discussions and resolution of issues
  • Maintain record of Design Consultant(s) submittals and control in a timely manner the submittals/correspondence received.
  • Evaluate and endorse any variation orders/change requests submitted by the Design Consultant(s) in coordination with HOD
  • Assist HOD with inputs required for presentations to BOD

2. Internal departments- Relations & coordination

  • Act as the point of contact & the design department representative to other internal departments attending to queries, providing information and resolving any design related issues
    Liaise with Projects department, Development department, real estate department, Project Directors, Project Managers, Procurement department, finance department, sales admin and marketing departments to ensure design work is executed in alignment with overall project vision and expectations
    When needed, support the Project Director during Development of the project Professional Services procurement strategy
    Support Project Directors and other stake holder on any technical input or studies required
    Coordinate with marketing department on timelines for marketing materials, and manage vendors appointed to produce Marketing materials
  • Assist Marketing department with Vendor evaluation and recommendations
    Coordinate with real estate department, development department, projects department and support with relevant information and inputs to implement company processes during project validation period and throughout the various stages of design
    When needed, assist Projects department in resolving design related issues on site, and propose solutions
    Assist in sample review and approval
    Assist HOD to build a standard design management plan (DMP)
    Coordinate and support the QS - Estimation Department on the development of project cost estimate at each design stag

3. Building & Developing Department standards & Processes

  • Assist HOD in developing design management plan (DMP) standard form
  • Assist HOD in developing standard RFP templates for all design consultancy services
  • Assist HOD to build MASTERISE design standards manual
  • Assist HOD to setup design review checklists
  • Assist HOD to develop design department processes & procedures
  • Assist HOD in defining differentiating standards for the 3 project segments
  • Enforce implementation of all design standards and procedures throughout the stages of design
  • Communicate with Facility management department and ensure client feedback and issues are communicated to HOD and section heads through a lessons learnt log and ensure implementing measures to rectify issues in future projects
  • Establish professional relationships with peer professionals in the industry.
  • Maintain awareness of industry trends, methodologies, tools, templates and best practices in project management in relation to design engineering.
  • Maintain awareness of newly launched projects in local market, and continuously explore differentiators for our projects

4. TEAM BUILDING & DEVELOPMENT

  • Advocate & cultivate a culture of continuous improvements within the department
  • Cultivate a culture of transparency& accountability within the department
  • Cultivate a culture of cooperation within team members in the department and with other internal departments based on the common goals and objectives of the company
  • Assist the HOD in setting up a road map for every member within his team in order to visualize a clear pathway to his career progression and growth within the company
  • Assist HOD to periodically setup training sessions for team members through external suppliers and exposure to building systems & materials, and through internal mentoring and sharing of knowledge
  • Ensure continuous mentoring of internal team members, and alignment with best practices and international work standards

Requirements:

  • BA level degree in Architecture or higher
  • Excellent knowledge in international codes and best practices
  • A working technical knowledge of building systems, building codes, and regional design guidelines
  • Relevant experience in design management of Multi- use developments with different project scales
  • Should come from a design background and have a proven track record with heavy previous involvement in design
  • Proficient in common engineering application software (AutoCAD)
  • Knowledge in Revit software (BIM) is an advantage
  • Proficient in common application software (Power point, Excel, etc.)
  • Dynamic and motivated team player who is both efficient when working independently with minimal supervision or in a team
    flexible, self-driven and a proactive individual able to understand the nature of the work and prioritize according to schedule and deadlines
  • PMP certification or equivalent Program Management certification will be an added advantage
  • Demonstrated capability to think strategically and execute tactically
  • Ability to learn quickly and show resourcefulness
  • Able to motivate and inspire and get the most out of people
  • Able to gain people’s trust through technical competency and gain respect through a well-balanced personality
  • Open minded and able to lead conversations and brainstorming sessions
